What we collect

Two forms on this site send us information. The contact form collects your name, email, optional phone number, the topic you pick, and your message. The registration form collects the athlete's name and date of birth, event and experience details, and the parent or guardian's name, email, and phone number, plus anything you add in the notes field. If you tick the email updates box, we also record that you did, when, and the exact wording you agreed to.

Information about minors

Registration is completed by a parent or guardian, not by the athlete. We ask for an athlete's name and date of birth only to place them in the right training group and to enter meets. We do not knowingly collect information directly from children through this website, and we do not use athlete information for marketing.

Payments

Program fees are processed by Stripe. Card numbers are entered on Stripe's own payment page and never reach our servers or our database. We store only the outcome — whether a registration is paid, the amount, and Stripe's reference for it — so we can reconcile who has paid.

Email updates

We send program news only to people who ticked the consent box. Every email includes an unsubscribe link, and unsubscribing takes effect immediately. We never sell or rent email addresses, and we do not add anyone to the list who did not ask for it.

How long we keep it

Contact messages are kept while we are in conversation with you and for a reasonable period afterwards. Registration records are kept for as long as the athlete is in the program, and afterwards where we need them for accounting or insurance. Ask us to delete your records and we will, except where we are required to keep them.

Who can see it

Submissions are visible to V12 Athletics coaching staff and are stored in a database we control. We use service providers to run the site and handle payments and email delivery; they process this information on our behalf and are not permitted to use it for anything else.

Getting your information removed

Email us and say what you want removed. We will confirm once it is done. You can also unsubscribe from emails at any time without removing your registration records.
